IFA Sales Support Administrator - Asset Management Firm - Northampton

The role is extremely varied with two key facets to the role – it is a supporting member of the Asset Management teams and in addition has a role in general office administration.

The main function of the role is as key support to the Head of Intermediary Services (HIS), sitting within the Asset Management Team. The focus of this role is to ensure that all administrative functions for the Intermediary Customers and their Clients are executed to a high standard to allow the Intermediary business to develop and related investment activities to run smoothly. As secondary to this, the ISAA will provide trade support to the Platform Execution Manager (PEM), and also aids to other departments, by attending to general office administration.

The Primary function of the role is to ensure that:-

ii) All administration is provided to support the Intermediary Sales Managers (ISMs) in their roles of marketing the proposition and developing the network.

The secondary function of the role is to:
1. Process new IFA Client paperwork, including; filing, scanning, and updating IFA Customers.
2. Ensure Avelo entries are created for every client and all activity relating to the client is recorded in Avelo and that all activities are executed and all activities logged.
3. Support the ISMs, including providing; meeting packs with relevant briefing notes, brochures, promotional items, etc. on request from HIS.
4. Use FE Analytics to run comparisons of our investment performance against benchmarks as required and pass to the HIS for review before logging.
5. Manage cash levels held at third party providers on behalf of Intermediary Customers, as requested, by arranging sufficient cash movements between platform to cover fees, across all Clients.
6. Collate and send weekly and monthly valuations to Rafter for the requested Clients.
7. Be aware of the location of the ISMs for the following day in case they need to be contacted.
8. Issue new IFA firms with the paperwork their clients will need to complete, using the standard packs in the sales process folders.
9. Book meetings for Intermediary Sales Managers (ISMs) and Investment Analyst as required.
10. Assist in any ad hoc tasks, audits and projects.
11. Responsible for the daily data feeds for the Avelo Client Portal and ensuring that this is reconciling / there are no problems.
12. Going through individual activity list in tandem with the HIS.
13. Monitoring stock levels of stationery and organising an efficient ordering system.
14. Upload marketing material to the website, as requested, in a timely manner.

The Analyst is a core member of the Investment Team within Asset Management. This person will also support communication with DFM customers and clients and assists in DFM sales process on occasion.

Main Duties

The Analyst’s weekly work is a mix of regular duties and one off projects as assigned from time to time. Although the position reports to the Director, Asset Management much of the day to day activity will be directed by the Chief Investment Officer (CIO) and Investment Managers(IMs).

The Analyst is a member of the Investment Committee and is responsible for monitoring and interpreting market movements, individual asset movements and recording the Investment Committees (IC) macro and short term views of market momentum and economic cycle development. They will support the CIO to select relevant assets for consideration by the IC to be included in the portfolios. They will build the model portfolios and manage them and track their performance against benchmarks using Analytics, and will bring to the attention of the IC members any information that they believe is relevant.

Once the IC decisions have been made it is expected that the IC decisions are to be regularly (every week) communicated with their clients and to record those communication to explain what action is required to rebalance portfolios, take profits and/or protect capital or keep with the existing model, and justify quantitatively why the decisions have been made. These communications will be managed by the Investment manager and CIO and sent out as firm specific data to keep all clients informed of the decisions we are making and the performance of the portfolios over varying time periods.

Once IC decisions have been made the Analyst (and other members of the Investment Team) works with the Portfolio Administration team to ensure clients are holding the correct investments according to the personal profile and that any new money or rebalances are done according to the firm’s investment execution procedures for the appropriate platform or product.

Portfolio Administration and Trade execution

1. To ensure that all administration is conducted in accordance with the requirements of the FCA and the firm’s procedures and forms (including in particular its procedures for compliance, training and competence, combating money laundering and the handling of complaints).

2. Working with the administration team to ensure that all data is input and maintained correctly on the back office systems and the admin function interacts seamlessly with the account management function to ensure the clients’ interests are always correctly adhered to and put first.

3. Work with SPAM or Deputy when constructing the model portfolios, and then update them on the Pershing and other Platform or third party systems from which we manage client assets.

4. Keep logs and records of any trades being actioned or activity for reporting purposes.

5. Organisation of all client work to the highest standard, as well as organising the workflow using task lists and delegation, to ensure that all client requirements are satisfied without unnecessary delays.

6. Be responsible for the order book being monitored and ensuring that there are no discrepancies and/or delays in trading without a valid reason.

The Analyst’s weekly work is a mix of regular duties and one off projects as assigned from time to time. Although the position reports to the Director, Asset Management much of the day to day activity will be directed by the Chief Investment Officer (CIO) and Investment Managers(IMs).

The Analyst is a member of the Investment Committee. He is responsible for monitoring and interpreting market movements, individual asset movements and recording the Investment Committees (IC) macro and short term views of market momentum and economic cycle development. He supports the IMs to select relevant assets for consideration by the IC to be included in the portfolios. He builds the model portfolios and manages them and tracks their performance against benchmarks using Analytics. He will bring to the attention of the IC members any information that he believes is relevant.

Once the IC decisions have been made they expect the IC decisions to be regularly (every week) communicated with clients of the firm, and to record those communication to explain what action is required to rebalance portfolios, take profits and/or protect capital or keep with the existing model, and justify quantitatively why the decisions have been made. These communications will be managed by the Investment manager and CIO and sent out as firm specific data to keep all clients informed of the decisions we are making and the performance of the portfolios over varying time periods.

Once IC decisions have been made the Analyst (and other members of the Investment Team) works with the Portfolio Administration team to ensure the clients are holding the correct investments according to the personal profile and that any new money or rebalances are done according to the firm’s investment execution procedures for the appropriate platform or product.

This is not required to be a CF30 role initially (although preference will be given to candidates who are CF30) but it should develop into one and it is a requirement that if the individual does not already hold appropriate qualifications that they will pursue them in their own time with the company’s support and pass the assessment to be deemed competent over time.

The main purpose of the role is to work with the existing Compliance Officer, their Advisers and paraplanners in assisting the business to meet its regulatory obligations.
